Export and share

Every way out of KeptNote is a choice you make. Nothing is posted, sent or uploaded by KeptNote on its own.

Copy the note or the transcript

Copy note puts the finished note on your clipboard as Markdown, without the transcript. The times stay in the text as 00:03:34. A message says Copied note. If the meeting has no written note, KeptNote copies your typed notes and adds the transcript. If it has neither, you see No note to copy.

Copy transcript copies one line for each turn, as [hh:mm:ss] Speaker: text. The speaker is Me, Them or Room.

Copy for Slack copies the note with Slack’s formatting: headings become bold lines. KeptNote does not post anything. The message says so: Paste it into Slack. KeptNote did not post or make a network request.

Email draft

Email draft opens a new message in Apple Mail with the meeting title as the subject and the note as the body, with plain bullets. If the meeting came from a calendar invite, the other people on the invite are in the To line. KeptNote never sends it. Nothing goes out until you press Send in Mail.

  • KeptNote also copies the full note to your clipboard.
  • If Mail has no account, or macOS blocks KeptNote from Mail, the draft opens in your default email app instead, and a message tells you why. The body is cut at 6,000 characters, and the rest stays on the clipboard.
  • The first time, macOS may ask you to allow KeptNote to control Mail. Allow it under System Settings, in Privacy & Security, under Automation.

In Ask, Email this under an answer opens the answer as a draft in the same way.

Send to Apple Notes

Send to Apple Notes creates a new note in a folder named KeptNote, in your default Notes account. KeptNote creates the folder if it is missing. It keeps the headings and bullets, and it does not bring the Notes app to the front. A message says Sent to Apple Notes. If your Notes sync with iCloud, this copy syncs too. KeptNote’s own copy stays on your Mac.

Each time you choose it, KeptNote makes another note. It does not replace the earlier one. The first time, macOS asks you to allow KeptNote to control Notes.

Save as a Markdown file

  1. Choose Save Markdown as…. A save sheet titled Export KeptNote Markdown opens.

  2. KeptNote suggests the meeting title as the file name, with .md at the end.

  3. Choose a folder and press Export. A message shows the full path.

The file holds the same text as Copy note: sections as headings, bullets, check boxes for next steps, and each point’s time. It holds no audio, and no transcript when a finished note exists. Any Markdown app can open it.

Create a shareable page

Create shareable page… makes a one-page recap and opens it in your browser. It is a single file on your Mac. It is not a link, and nothing is uploaded.

  • The page shows the title and date, a cloud of the words most used in the meeting, and your Decisions and Next steps, up to six points each.
  • It ends with the words Made with KeptNote. You cannot change this line.
  • The page needs a transcript with enough words. If it has too few, KeptNote says Not enough transcript yet.

KeptNote saves the page in a temporary folder, and macOS may clear that folder later. To keep it or send it, save the page from your browser. KeptNote has no web link feature, so there is nothing to revoke.

Show in Finder, and keep a folder in step

Show in Finder opens the meeting’s own folder. To have KeptNote keep a Markdown copy of every finished note in a folder you choose, see Folders and Mac folder links.

KeptNote has no button to export your whole library at once. To copy everything, choose Show KeptNote Files in Finder in the File menu. What stays on your Mac lists what is in the folder.
