Find your folders
The rail on the left is always in view. Press Folders and recent to slide out a panel beside it. You can also press Control-Command-S, or choose Show Folders and Recent in the View menu. Press Escape to close it.

The folders panel. Folders are on top, then suggestions, then your recent meetings.
The panel shows, from the top:
- A search box. See below.
- Folders. Each folder shows the number of meetings in it. KeptNote lists the folder with the newest meeting first, then empty folders by name. It shows five folders. Press Show all for the rest. Unfiled follows the folders once you have at least one.
- Recent. Your newest meetings, and See all.
- Help, at the bottom.
Press a folder to see its meetings. Press All meetings in the rail to see all of them. The page lists meetings by day, with the newest first, under the headings Today, Yesterday and then dates. KeptNote has no sort or filter controls there. To find a meeting, use search.
Make, rename and delete folders
Press the + next to Folders. Its tooltip reads New folder.
Type a Folder name and press Create. A note under the box says: Folders organize meetings inside KeptNote. Linking a Finder folder is optional and does not move your recordings.
Right-click a folder for its menu: Rename Folder…, Link to a folder on this Mac…, Unlink (only when linked) and Delete Folder.
When you delete a folder with meetings in it, KeptNote asks Remove and the folder name. The meetings move to Unfiled. No recording is deleted. You cannot delete a folder while one of its meetings is being transcribed.
Move a meeting into a folder
- Drag. Drag a meeting from the list on Home, or from any meeting page, onto a folder in the panel. Drop it on Unfiled to take it out of a folder.
- Right-click. Right-click a meeting, choose Add to Folder, and pick a folder. No Folder removes it from a folder. New Folder… makes one and moves the meeting into it.
- From the note. Press the … button, and choose a folder under Move to folder. The Note menu also has Move to Folder.
- Before you record. Choose a folder under Folder in Detailed Setup…. In Settings, on the General tab, Default folder sets where quick starts go.
You cannot move a meeting while it is being transcribed.
Folder suggestions
Once you have at least three finished meetings, KeptNote may suggest up to three folders. A suggestion shows under your folders with a plus and a count. It names a meeting that repeats, for example a weekly stand-up. Press it, and KeptNote makes the folder and moves those meetings in. A message offers Undo. To hide a suggestion, right-click it and choose Not now.
Search all your meetings
Press Command-K, or press Search in the rail, to open the search box. It looks at titles, your notes and the transcripts. It does not work while a meeting records.
- With an empty box, it lists Actions (New meeting and Ask), your Recent meetings, your Folders, and Go to places: Home, All meetings, Unfiled and Settings.
- Type to search. The first row opens a full results page. Meetings lists titles that match, and In notes and transcripts shows a short snippet from each meeting.
- Use the Up and Down keys and press Return to open a row. Press Escape to close.
- Press Tab to ask your words as a question across all meetings. This shows if you added an AI key. See Ask your meetings.
The search box in the folders panel works the same way. Inside a folder it says Search this folder, and the results page offers Search everywhere. A results page shows where each match is: Transcript with a time, Scratch note for the notes you typed, or Finished note.
Link a folder to a folder on your Mac
A linked folder keeps a Markdown copy of each finished note in a folder you choose. Other apps can then read your meetings, for example a notes app that watches that folder.
Right-click a folder in the panel and choose Link to a folder on this Mac….
Choose or make a folder in the sheet Link a Finder Folder, and press Link Folder. The sheet says that KeptNote keeps a Markdown copy of each finished note in the folder, and touches nothing else in it.
A message says Finder folder linked, and that nothing was copied yet.
The folder must be outside KeptNote’s own library. KeptNote writes one file for each meeting, named with the date, the title and a short code, for example 2026-10-08-Launch sync--3f9a21c4.md. It rewrites the same file each time the note changes. The file holds the note, without the transcript.
- KeptNote writes the file after a note is built, after a rewrite, after you edit My notes, and after you import a finished note. It does this quietly, and only for meetings that are in a linked folder.
- Linking copies nothing at first. Moving a meeting into the folder does not write it either. The file appears the next time that note changes.
- If you rename a meeting, its file name changes, so a new file appears. KeptNote does not remove the old one.
To stop, right-click the folder and choose Unlink. KeptNote does not delete or change anything in Finder. To point the link somewhere else, choose Link to a different folder…. Deleting a KeptNote folder never deletes files in the linked folder.
