Pause and resume
The recording bar is at the bottom left of the live meeting page. It also stays at the bottom left over the Reef.
Press the pause button. Its tooltip reads Pause recording. The bar shows Paused and the time you reached. The level bars go flat.
To carry on, press Resume. Its tooltip reads Resume this meeting. The timer continues from where it stopped.
You can also pause and resume from three other places. The KeptNote icon in the menu bar has Pause Recording and Resume Recording. The capsule that shows when KeptNote starts a recording by itself has a pause button that slides in when you move your pointer onto it. The tab at the edge of your screen has one on the card that opens when you point at it, and in its right-click menu. KeptNote has no keyboard shortcut for pause. The menu bar and the recording capsule shows each of them.
Pause does not add silence. The time you spend paused is not in the audio. When you resume, KeptNote joins the new part to the audio it already saved. One meeting stays one meeting, with one note and one transcript.
If KeptNote cannot join the new part, it tells you with the notice Could not merge the resumed audio. The newest part stays saved on its own, and nothing is lost.
Stop
You can stop from any of these places.
- The stop button in the recording bar. Its tooltip reads Stop and build your note.
- Stop and Save in the Note menu, or Option-Command-Period.
- Stop and Save in the menu that opens from the KeptNote icon in the menu bar. It shows Option-Command-Period beside it.
- The stop button on the capsule, or on the card of the edge tab, or Stop and Save in the right-click menu of either one.
You can stop while the meeting is paused. A recording that is already running is never cut off, even after your trial ends.
You cannot quit KeptNote with Command-Q from the menu bar window while it records.
What happens after you stop
KeptNote opens the note and shows two steps in turn.
Transcribing on this Mac. A line shows about how many minutes are left, or a percentage.
Writing your note. It ends with a short finishing step.
The page says Your audio stays on this Mac. Press Cancel if you want to stop. KeptNote keeps your raw audio, and you can transcribe it again later.
Transcribing starts by itself. It follows the switch Automatically transcribe when capture stops in Settings, on the Transcription tab, under After a meeting. It is on at first. If you turn it off, the note shows Transcribe and write note and waits for you.
KeptNote handles one meeting at a time. If you start a new recording while it transcribes an older one, KeptNote pauses the older job and picks it up again after the new recording ends. The older meeting shows Waiting to transcribe until then.
After the transcript is saved, KeptNote moves the raw audio to the macOS Trash. To keep the raw audio, turn on Keep raw microphone and system audio forever in Settings, on the Transcription tab, under Retention.
When a meeting goes quiet
If a recording stays quiet for a long time, KeptNote can ask whether the meeting is still going. You set this in Settings, on the General tab, under During a meeting.
- End quiet meetings automatically is on at first.
- Ask after sets how long the quiet lasts before KeptNote asks. The choices are 5, 10, 15 and 20 minutes. The starting choice is 10.
- End after another sets how long KeptNote waits after it asks. The choices are 2, 5 and 10 minutes. The starting choice is 5.
KeptNote checks every 30 seconds. Any sound that is loud enough resets the wait. When the time is up, a notification titled Still in a meeting? says It has been quiet for about 10 minutes. KeptNote will end and save the note soon unless you keep recording. The number of minutes is the one you set under Ask after. It offers End and Save and Keep Recording. If you choose Keep Recording, KeptNote leaves the recording alone for 15 minutes. If nobody answers, it stops the recording and saves everything.
After an automatic stop, a notification says Recording stopped, with the meeting and an Open Note button. If you open the note, a banner repeats the message and offers OK and Keep recording. The second one records more into the same note once the note is written.
If something goes wrong
- Stop needs retry. macOS did not confirm that the audio stopped. KeptNote keeps your audio and shows a Retry button. Press it before you leave the meeting.
- Recording stopped safely. The microphone stopped, for example because a device was unplugged. KeptNote saved what it had.
- Your note could not be finished. Press Try again. KeptNote retries twice by itself and then waits for you.
- This recording was interrupted. The audio up to that point is safe. This shows after a crash or a quit during a recording. Press Recover recording.
